Slow first reply
Leads go cold in minutes. When first contact takes hours, the lead you paid for has already moved on.
Lead-flow audits for high-volume coaches
SWM finds and fixes the revenue that leaks between opt-in and payment: slow first replies, no-shows that never rebook, and sales calls nobody follows up on.
Where the money goes
At high volume, the biggest revenue leak usually isn't the ads. It's everything that happens after someone raises their hand.
Leads go cold in minutes. When first contact takes hours, the lead you paid for has already moved on.
On a busy week, some opt-ins never hear from anyone at all. Nobody notices, because nobody's counting.
Someone booked, didn't show, and never got a real rebook attempt. High intent, zero follow-through.
"Let me think about it" turns into nothing when the follow-up doesn't happen within 48 hours.
The free lead-flow audit
I connect read-only to your CRM and payment data (or work from exports), analyze the last 60 to 90 days, and hand you a one-page report with real dollar figures based on your close rates.
About 20 minutes of your team's time. You keep the report either way.
Estimated revenue leaking after opt-in
$41,800/mo

How it works
Week 1
I measure your lead flow and show you where the revenue is leaking, in dollars. This becomes the baseline everything else is measured against.
Build + run
I build and run the fix inside your existing stack. We agree on the target up front, and you see the results against your baseline every week.
Day 60
We review the numbers together. If the pilot hit the target, we keep it running and keep improving it. If it didn't, you walk away.
What the pilot builds
Every new lead gets a personal reply within about a minute, written in your voice and based on what they actually told you.
Your team gets pinged with context and a suggested opener. If a lead sits untouched, it escalates before it goes cold.
Missed calls trigger a real rebook attempt, then a second one. High-intent leads stop disappearing.
Every "let me think about it" gets a timely, specific follow-up drafted for your closer.
Leads in, response times, who's untouched, no-shows rebooked. One message, every morning.
Recovered leads are tied to actual payments in Stripe, so you know exactly what the system made you.
Works with what you already use: GoHighLevel, HubSpot, Close, Stripe, Calendly, Slack. Nothing to migrate.

RMR Training · HYROX coaching + community
I built the attribution, lifecycle automation, and growth infrastructure behind RMR's growth from hundreds to 1,000+ paying members. That included per-channel attribution so every sign-up source was visible, re-engagement automations triggered by inactivity, and custom tools that kept members coming back.

Who's behind SWM
I spent 7+ years running marketing operations and attribution for enterprise software companies like Betterworks, Model N, and Trimble, where every campaign had to tie back to pipeline and revenue.
Now I bring that same discipline to fitness and health coaches. No agency fluff: I find where the money is leaking, build the system that stops it, and prove it with your own numbers.
Former collegiate track captain (4:07 mile). These days: HYROX, ultras, and the Oregon coast.

Yes. You get the one-page report whether or not we ever work together. If the numbers show a real leak, I'll tell you what fixing it looks like. If they don't, I'll tell you that too.
Read-only access to your CRM and payment data is easiest. If you'd rather not, CSV exports of contacts, pipeline, appointments, conversations, and payments work fine. A screen share is a last resort.
No. The audit is read-only. Nothing is sent, edited, or deleted.
Coaches and coaching programs running paid traffic into a booked-call or application funnel, with a setter or sales team and enough lead volume that things slip through the cracks.
GoHighLevel, HubSpot, and Close for CRM; Stripe for payments; Calendly or your CRM's calendar for bookings; Slack or SMS for team alerts. I work with what you have.
If there's a meaningful leak, I'll propose a 60-day pilot: I build and run the fix, we agree on a target up front, and we review the results together at day 60. If it doesn't hit the target, you walk away.
No. Messages are written in your voice, based on your past emails, DMs, and sales calls, and reference what each lead actually told you. Anything high-stakes goes to a human for review first.
Access is read-only during the audit, data is only used for your report, and you can revoke access at any time. Nothing is shared with anyone else.
